CLERK/TYPIST/STENOGRAPHER
JOB TITLE: Clerk/Typist/Stenographer
SALARY: Z38 - 24
REPORTS TO: Head of Division/Department
DIRECT REPORTS: N/A
CORE JOB ELEMENTS:
Summary of Core Functions
To provide general clerical and typing duties.
KEY DUTIES & RESPONSIBILITIES
1. Types letters, memoranda, minutes, statistics, students’ application information, book ordersand all other matters relating to the College/Institute.
2. Takes of Divisional/Departmental minutes.
3. Assumes responsibility for filing of correspondence, student data and other relevant material.
4. Assists in the preparation of statistical data for the Divisional/Departmental.
5. Assumes responsibility for the keeping of Divisional/Departmental records.
6. Assumes responsibility for opening, recording, and routing incoming mail.
7. Assumes responsibility for listing and recording out-going mail and for ensuring that it reaches the Registry.
8. Assumes responsibility for the Notice Board.
9. Ensures that information from the Board, Administration and other relevant sources reaches all Divisional/Departmental staff.
10. Prepares staff attendance records.
11. Checking and updating diary of Divisional/Departmental Head.
12. Assumes responsibility for Perpetual Planner where there is one.
13. Carries out such other relevant duties as may be assigned from time to time by the Divisional/Department Head or any officer acting on behalf of the principal.

• May be required to work outside of normal working hours

Establishes and maintains professional working relationships with members of staff, other government and non-governmental organizations and members of the public.
JOB REQUIREMENTS
EDUCATION & EXPERIENCE
• Four (4) subjects, including English at CSEC General One or Two.
• Typewriting at Advanced Level.
KNOWLEDGE
• The mission and vision of the organization.
• The functions and duties of the post and how they contribute to the mission and vision.
• The Public Service Act CAP. 25.
• The Employment Rights Act (ERA) 2012-9.
• The Safety & Health at Work Act (SHAW) 2005-12.
• The BCC Staff Manual.

• Proficiency in the use of all Microsoft applications.
